Adding and editing listings

Listings

The Listings page is the central management area for all listings you manage. Adding new listings, editing existing ones, managing calendar links, and assigning the Housekeeping team are all done here.

Page Overview

When you open the page, the page title is at the top with a "New Listing" button on the right. Just below are summary statistic cards (active listing count, reservations, occupancy). Further down, all your listings are displayed as cards.

On mobile devices, cards appear in a single column; on tablets in 2 columns; on desktops in 3 columns.

Listing Cards

Each listing card displays the following information:

  • Listing name (top, bold)
  • Location (if any, below the listing name)
  • Active/Inactive status (toggle switch in the top right corner)
  • Host name
  • Platform badges — based on added iCal links (Airbnb, Booking, Agoda, VRBO)
  • This month's reservation count
  • This month's occupancy rate — percentage + progress bar

If some of your listings are inactive, they are listed separately under an "INACTIVE LISTINGS" heading below the active ones. Inactive listings appear semi-transparent.

You can click on any listing card to open its detail panel.

Adding a New Listing

Click the "New Listing" button in the top right to add a new listing. The dialog has two fields:

  • Listing Name (required) — The name you'll give your listing. Max 20 characters. Example: "Sea View Suite"
  • Location (optional) — Where the listing is located. Max 30 characters. Example: "Bodrum, Muğla"

A character counter appears below each field. If you already have a listing with the same name, the system warns you.

Calendar links (iCal) are not added at this step. They are added later from the detail panel after the listing is created.

Press "Create" to add the listing to your list.

The "New Listing" button is visible only to hosts. Co-hosts cannot see this button.

Listing Detail Panel

When you click a listing card, the detail panel opens. It contains the following sections:

Basic Information

  • Location
  • Host
  • Active/Inactive badge

Housekeeping Team

The Housekeeping team members assigned to this listing are listed. For each member:

  • Order number (1, 2, 3 ...) — when a guest checks out, the task is assigned to the first member in order; if they are not available, the next one is used
  • Full name
  • Up/Down arrows — to change the order (visible only to the host)
  • Delete button — to remove the housekeeping team member from this listing

If you are the host, you can add a new housekeeping team member from the dropdown menu at the bottom.

Co-hosts

The co-hosts assigned to this listing. The host can add or remove co-hosts.

Calendar Links

To automatically import your listing's reservations from platforms like Airbnb and Booking into Kalend, add calendar (iCal) links here.

Existing links are listed — each row shows the platform badge and URL. Hovering over the URL reveals the full address.

To add a new link:

  1. Select a platform: Airbnb, Booking, Agoda, VRBO, or Other
  2. Paste the iCal link provided by the platform
  3. Press Add

Things to watch out for:

  • Only publicly accessible web addresses (starting with http/https) are accepted. If you paste an invalid address, the warning "Invalid calendar URL. Only publicly accessible http/https addresses are allowed." appears.
  • The same address cannot be added to the same listing twice. If you try, the warning "This calendar URL is already added to this listing." appears.

After the link is added, reservations sync automatically. Synchronization runs each morning at 07:00 (UTC+3) automatically.

You can add separate links for each platform on a listing. For example, if you list the same listing on both Airbnb and Booking, you must add two separate links.

When you want to delete a link: The Delete button opens an additional confirmation dialog. If you confirm, all reservations from that link and any incomplete tasks are removed.

Editing a Listing

Click the pencil icon in the detail panel to switch to edit mode. The following fields can be changed:

  • Listing Name (max 20 characters)
  • Location (max 30 characters)
  • Status — Active/Inactive switch

Press Save to apply changes, or Cancel to exit.

Inactive Listing

If you mark a listing as inactive:

  • The card appears semi-transparent and is listed under "INACTIVE LISTINGS"
  • New reservations and tasks are not created
  • It does not appear on the Calendar page
  • Data is preserved; you can reactivate at any time

To make inactive, open the detail panel in edit mode and use the Active/Inactive switch. Or use the switch in the top right corner of the listing card directly for quick toggling.

Deleting a Listing

To completely delete a listing, use the red Delete button at the bottom of the detail panel. The system asks for an additional confirmation.

Deletion is irreversible. All reservations, tasks, and calendar links of the listing are lost.

If you might use the listing again in the future, making it inactive is a safer choice than deleting.

Access and Permissions

To see the Listings page, you need the View Listings permission. To edit listings, you also need the Edit Listings permission.

How permissions work for these actions:

  • Viewing the page: Anyone with the View Listings permission
  • Adding a new listing: Host only
  • Editing listing name/location, toggling active/inactive: Those with Edit Listings permission (for assigned listings)
  • Adding iCal links: Those with Edit Listings permission
  • Deleting iCal links: Listing owner only
  • Deleting a listing: Listing owner only
  • Assigning Housekeeping team or Co-hosts: Listing owner only

Even if a user can view the page, they only see listings assigned to them. Unassigned listings are not shown.

Tips

  • When adding a new listing, only the name is required; you can add location and calendar links later.
  • If you're temporarily leaving a listing (long vacation, personal use), make it inactive instead of deleting it.
  • Set the Housekeeping team order carefully — Kalend uses this order when assigning tasks.
  • If you receive reservations from multiple platforms (Airbnb + Booking), don't forget to add all your iCal links.
